We are looking for a talented and accomplished Facilities, Logistics and Real Estate Manager to join our team. In this role, you will take ownership of facilities operations, logistics and real estate strategy, ensuring efficient, cost-effective, and high-quality workplace environments that support business objectives.
Key Responsibilities
Facilities Management
- Oversee day-to-day site operations, including coordination of all hard and soft FM services and building-related activities
- Ensure compliance with company FM and Health & Safety policies and procedures
- Maintain high standards of workplace quality and employee satisfaction
- Manage reception, logistics, parking allocation, and on-site services (including canteen/restaurant supervision)
- Ensure all repair and maintenance works are completed effectively and on time
- Maintain accurate FM records and an up-to-date on-site FM manual
- Act as escalation point for emergency and critical situations
Real Estate & Workplace Strategy
- Support real estate planning, office space management, and workplace optimization in collaboration with management and project teams
- Contribute to site selection, lease considerations, and portfolio efficiency initiatives
- Lead and support office moves, refurbishments, and space reconfigurations
- Support the procurement, design, and setup of new office spaces, ensuring alignment with business needs and company standards
Financial & Contract Management
- Manage facility budgets (CAPEX and OPEX), ensuring cost control and optimization
- Monitor supplier contracts, track deadlines, and lead renewals in collaboration with Procurement
- Continuously identify and implement cost-saving opportunities
- Oversee purchase order creation and approval processes, ensuring compliance and accuracy
- Conduct monthly budget reviews and financial reporting for facility-related expenses
Vendor & Stakeholder Management
- Manage and coordinate all building vendors and service providers
- Collaborate with internal stakeholders, including regional facilities teams and cross-site coordinators
- Support vendors for events and workplace initiatives
- Serve as the main point of contact for facilities, security, and workplace-related topics
Sustainability & Compliance
- Drive sustainability initiatives and ensure environmentally responsible facility operations
- Ensure adherence to regulatory requirements and internal standards
Additional Responsibilities
- Manage security systems and related processes
- Oversee workplace supplies, beverages, and general premises needs
- Provide administrative support and customer service to internal and external stakeholders
- Support out-of-hours issues and be available for occasional travel when required
- Support in all Audits, internal and external
To succeed in the role, you will need to have:
Requirements
- Advanced level of Greek language (native/C2)
- Advanced level of English language (minimum C1)
- Strong verbal and written communication skills
- Minimum of 3–5 years of experience in Facilities Management, with exposure to real estate or workplace strategy preferred
- Strong organizational, time management, and problem-solving skills
- Ability to manage multiple priorities and work in a fast-paced environment
- Experience in budget management and vendor/contract negotiations
- Ability to collaborate with diverse teams and stakeholders
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Project)
- EU citizenship or valid work permit for Greece
- Willingness to relocate to Athens, Greece (if not already local)
Preferred (when applicable):
- Experience managing multi-site operations or real estate portfolios
- Experience in the procurement, design, and setup of new office spaces is considered a strong advantage
- Availability to travel
- Flexibility to provide out-of-hours support
