As a Facilities Specialist, you will be in a key support role, focusing on administrative tasks to ensure smooth and efficient processes for new Associates with regards to their relocations and temporary accommodation. This role will work closely with the Facilities Manager to ensure all accommodations are safe, clean and functioning efficiently for our new employees, visitors, and tenants. This role combines hands-on maintenance with administrative duties.
As a Facilities Specialist in this project, your daily responsibilities will include:
- Oversee daily operations of the housekeeping for all the apartments in Foundever’s portfolio
- Supervise & arrange bookings and ensure high standards of cleanliness and service are maintained in the apartments in Foundever’s portfolio
- Responsible in managing the laundry services for the apartments in Foundever’s portfolio as and when needed
- Be the point of contact between the Tenants and the Landlords, ensuring excellent customer service
- Handle the reservation and the booking of travel tickets and taxi’s for relocations/visitors and arrange the payments and logistics for all the apartments
- Responsible for the maintenance services and arrangements for all apartments
- Be the main point of contact for new members of staff to secure a smooth welcome process in collaboration with the Onboarding team
- Ensure Relocation Policy & Processes are adhered to
- Provide continuous Critical Thinking to evaluate current processes in place and suggest improvements
- Support Logistics team with the shipment and delivery of equipment, in order for the Associates to have the necessary setup for a W@H or Brick & Mortar environment
- Where needed, support at Foundever’s front desk reception
- Keep track of equipment not received and provide appropriate updates
To succeed in the role, you will need to have:
- Excellent Greek language level (C2 both spoken and written) with a proficient English language level (C1 and above both spoken and written)
- Attention to detail
- MS office
- Ability to work as team member in an extremely fast-paced environment
- Ability to cooperate with multiple departments within the company
- Knowledge of and experience in the contact center industry would be a plus
- Comfortable with communicating with individuals at all levels, inside and outside of the organization. (e.g. employees, providers etc.)
- Ability to identify and prioritize activities, problem-solving and analytical skills utilizing available resources
- Prior experience in Facilities and accommodation management will be considered an asset
- Strong organizational and administrative skills
- Attention to detail and accuracy in document management
- Basic understanding of office environments
- Strong communication and interpersonal skills
- Excellent organizational skills
- Ability to follow guidelines, processes, and instructions
- Capacity to work collaboratively within a team
- Adaptability to changes in tasks and priorities
- Supportive attitude towards new hires for their relocation process
- A curiosity and passion for Artificial Intelligence (AI) concepts and applications - experience of application/use of these in a business environment would be a plus
- Must hold EU citizenship or valid work permit for Greece
- Be located in Athens as it's an office based position, Greece
