The Mission

We are a fast-growing Global BPO based in Cape Town We’re on an ambitious growth journey, and we’re looking for a highly organized, proactive, and strategically minded Executive Assistant to support our Executive and leadership team. 

The Role

This is more than a traditional EA role. You will act as a trusted partner to the Snr leadership team — managing schedules, communications, and logistics while anticipating needs, streamlining priorities, and supporting strategic initiatives. You’ll ensure the Snr leadership team can focus on what matters most, making a real impact on the business success.

Key Responsibilities

Email, Schedules and Calendars

  • Coordinate and manage the daily schedules of the Senior leadership team, ensuring all meetings, appointments and deadlines are seamlessly organised
  • Manage incoming emails - filtering between action, informational and junk mail
  • Anticipate team needs and proactively flag conflicts, priorities and opportunities

Communication and Correspondence

  • Draft, review and manage all forms if communication on behalf of the Senior leadership team including emails, reports and presentations
  • Serve as the main point of contact for internal and external communications, ensuring prompt, professional and effective responses
  • Facilitate communication between the leadership team and other departments ensuring alignment and clarity

Administrative and Strategic Support

  • Provide comprehensive administration support including document preparation, data entry and file management
  • Handle confidential and sensitive information with absolute discretion
  • Prepare briefing packs, summaries and presentations to ensure leadership are fully informed for meetings and decisions
  • Support strategic projects and track actions and deadlines arising from leadership meetings
  • Identify opportunities to improve systems, workflow and processes across the organisation

Tavel and Meeting Arrangements

  • Organise and manage all travel logistics - flights, accommodation, itineraries (this included incoming visitors)
  • Prepare detailed meeting agendas and materials, ensuring participants are fully briefed
  • Coordinate logistics for internal and external meetings, including venue bookings, catering and technology setup

  • Confident handling confidential information with discretion and professionalism.
  • Tech-savvy, with experience using CRM, project management tools, and data dashboards.
  • Previous experience supporting senior leadership or C-suite executives essential as well as previous BPO experience
  • You thrive in a fast-paced, entrepreneurial environment and can anticipate needs, connect dots, and make things happen.

About the Job Holder

The job holder will need to have the ability to effectively communicate in person as well as via phone and email, ensuring that all administrative assistant duties are completed accurately and delivered with high-quality and very importantly, in a timely manner.

Key Points

Salary: Dependent on experience 

Benefits: Medical Cover and pension 

Contract Type: Permanent, 40 hours (full time) 

Working Pattern: 09:00 – 18:00 Monday to Friday. Rotational Schedule for Public Holiday representation 

Location: Victoria & Alfred Waterfront, Cape Town (on-site)
