Job Summary

This role provides comprehensive administrative support to the APAC Executive, with a focus on ensuring efficient management of schedules, communication, and project timelines. The Executive Administrative Manager is responsible for a variety of general and complex administrative, and reporting tasks.

Primary Job Responsibilities

Administrative and Business Representation. Provides executive administrative support as needed. This includes maintaining calendars, planning and scheduling meetings/events across multiple time zones, and arranging global/ local travel for the supported executive. The role also facilitates communication between executives and internal/external contacts, acting as an intermediary and representing the executive in many capacities. The role involves logging, tracking, and responding to mail, and managing expense and invoice submissions.

Handling Confidential Information. Discretion and maintaining a high degree of confidentiality are crucial, as the position often has access to confidential company information. This includes ensuring the information flow between executives, associates, and external contacts is highly professional.

Coordinating Between Departments. This involves collaborating with different departments by acting as the executive's proxy in meetings they cannot attend. The assistant serves as a liaison between the executive and internal teams, facilitating effective communication and partnership on strategic initiatives. They may also participate in strategic meetings, providing insights and updates on project progress and outcomes. The role also includes providing support to other administrative staff members and departments as a team player to promote interdepartmental communication and coordination.

Analytics and Reporting. Gathers and researches data to create reports. The role is responsible for developing and maintaining regular and ad-hoc reports for management decision-making. They must validate the correctness of gathered data and analyze how it can be used to produce insightful reports. The role may also involve developing and implementing reporting and data analytics frameworks to analyze associate experiences and engagement levels.

Presentations and Document. Prepares organization charts, presentations, minutes of meetings, and proposals. The assistant also creates, maintains, and stores hard and soft copies of files, reports, department records, and contact lists.

Project and Operational Coordination. Manages special projects. The assistant coordinates daily operations, which includes collecting, compiling, analyzing, and distributing data. They may collaborate with operations and department heads to identify and execute process improvements and serve as a liaison between the executive and internal teams on strategic initiatives.

Other Duties. Provides support to corporate reception and others as requested. The position may periodically utilize assistance from one or more administrative or clerical associates and may serve as a lead to other administrative or clerical associates, managing workload and general performance.

What you need in order to be successful

  • Business-related education with an associate's degree, specialized training, or equivalent experience.
  • Experience: A minimum of 3-5 years of experience supporting senior management.
  • Experience in a call center with at least 6 months as a Product Specialist or Supervisor is also noted as a qualification.
  • Strong skills using Microsoft Office software, including Outlook, Word, Power Point, Visio, and spreadsheets.
  • Work experience with Advanced Excel, especially with Pivots, Charts, and Formulas.
  • Experience with PowerBI, Power Query, VBA Macro, SQL, Power BI, Tableau, and other reporting tools is a plus.
  • Strong written and verbal communication skills. The ability to type approximately 60 WPM is also preferred but not required.
  • Excellent organizational, time management, and facilitation skills. The ability to handle multiple priorities concurrently with strong attention to detail and accuracy is essential.
  • Demonstrated ability to maintain a pleasant and professional demeanor, regardless of challenges.
  • Ability to promote the effective and efficient use of an executive's time.
  • Flexibility and the ability to adjust quickly to changing priorities and timelines.
  • Working knowledge of financial and legal terms and concepts (both analytical and procedural) is a plus.
  • The ability to field and respond to questions and issues so that the executive workload is divested of non-critical details.
