This position is located in Nashville.

You will manage detailed global calendars and travel itineraries, coordinate meetings, expensing, and special events.   • Provide executive administrative support to COO, SVP Corporate HR, General Counsel. 
  • Serve as the primary point of contact for the COO, managing correspondence, scheduling meetings, and coordinating calendars across multiple global time zones to optimize time management.
  • Arrange travel itineraries, accommodations, and logistics for the COO, including domestic and international travel.
  • Coordinate meetings, including arranging logistics, creating/maintaining agendas, and material preparation ensuring accuracy, completeness, and confidentiality.
  • Act as a liaison between the COO and internal teams, departments, and external stakeholders, facilitating communication and ensuring alignment on priorities and initiatives.
  • Anticipate the needs of the COO and proactively handle administrative tasks, including expense reports, calendar management, document management, and other ad hoc requests.
  • Coordinate special projects and initiatives on behalf of the COO, collaborating with cross-functional teams to achieve objectives and deadlines.
  • General administrative functions include but are not limited to ordering supplies, making copies, scanning, arranging courier service and handling incoming and outgoing mail/packages.



  • 5+ years of experience as an executive assistant supporting global senior leaders in a fast-paced environment.
  • High level of organizational and time management skills, with the ability to prioritize tasks and multitask effectively.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with individuals at all levels of the organization.
  • Strong attention to detail and accuracy in managing calendars, scheduling meetings, and preparing documents.
  • Proficiency in Microsoft Office, Teams, WhatsApp, Concur, and willingness to learning additional office and communication tools as needed.
  • Discretion and professionalism in handling confidential information and sensitive matters.
  • Adaptability and resourcefulness in solving problems and navigating complex situations.
  • Ability to work well in both team-oriented and self-directed environments.
  • Ability to complete work quickly, react with appropriate urgency to situations that require a quick turnaround, and take effective action.
  • A "can-do" attitude.
  • Bachelor’s degree in Business Administration, Communications, or a related field is preferred but not required.
  • Ability to travel 10%, domestically and internationally. 
  • Ability to work in office 1-2 days per week, and more as required to perform on site tasks.

Salary Range 

The base pay range for this position in the United States is $70,000 - $90,000 per year; however, base pay offered may vary depending on location, job-related knowledge, education, skills, and experience.
